Job Description

Ransom Everglades Schools seeks a Data and Prospect Manager. This position covers Advancement database management and the processing of gifts using the fundraising database, Raiser’s Edge, subsequent acknowledgement of gifts, time-sensitive reporting and reconciliations with the business office, updating and production of prospect lists and assignments, and general support to the Advancement staff on other projects as needed. Reporting to the Director of Advancement Services, this is a full-time, 12-month position.  




Gift Processing & Database Management

  • Classify and enter data into the fundraising database - this includes gifts, pledges, biographical information, event registrations, or any other required data
  • Manage all online transactions
  • Generate and submit transaction reports on a daily basis, along with copies of all backup documentation for gift/pledge records to the Business Office and reconciliation of all transactions with Accounting
  • Generate and verify donor acknowledgement of all gifts
  • Responsible for the scheduling and execution of all monthly recurring credit card and bi-monthly payroll deduction installment payments
  • Maintain filing system for all gift records and any associated correspondence or documentation
  • Assist in producing materials/resources for Advancement office use or fundraising initiatives – including but not limited to: event materials, mailings, prospect management meeting documents and prospect directories.

Prospect List Management

  • Participate in prospect review sessions, updating notes and next steps
  • Update prospect ratings, volunteer and staff assignments and proposal statuses
  • Production of prospect lists and directories as needed by staff, trustees and other volunteers
  • Manage executive correspondence and provide executive and department support


Additional Duties and Responsibilities:

  • Support Advancement staff as needed with special events, mailings, and projects


Education, Background, and Skills Requirements

  • Bachelor’s degree required
  • Experience in gift and biographical data entry/donor database management using the Blackbaud Raiser’s Edge/NXT software
  • Strong attention to detail and ability to multitask
  • Ability to maintain strict confidentiality in all aspects of work
  • Possess excellent communications skills and act with a strong customer-centered mindset
  • Experience working in a fundraising office/environment
  • Proficiency with Microsoft Office software (primarily Microsoft Word merges & Excel)
  • Familiarity with basic accounting principles preferred
  • Ability to work weekends and evenings as needed for Advancement related events
