Job Description

Stratford Academy seeks a full-time Database and Stewardship Coordinator, reporting to the Head of Advancement. The Database and Stewardship Coordinator maintains and manages all gift/pledge records, processing and financial reporting; maintains the integrity of hard files and database systems; personally manages or works as a team member on production and mailing of receipts and stewardship correspondence. They are also responsible for maintaining grant and scholarship databases, and system capability enhancements which will benefit the Office of Advancement. 

This position will

  • Processes and maintains records on all gifts, pledges and donor-related transactions. 

  • Assists in the production, maintenance and distribution of financial reports including, but not limited to, gift/pledge logs, weekly and monthly reports and executive dashboards. 

  • Produce and submit gift/pledge acknowledgement correspondence, pledge reminders and matching gift requests. 

  • Works as a team member with the Business Office staff to produce the: 

    • annual endowment report;  

    • personalized, endowed fund end-of-year summaries;  

    • donors’ end-of-year philanthropy summaries;  

    • memorial/honorarium acknowledgments;  

    • gratitude correspondence to donor recognition societies. 

  • Provides support for the annual audit and fiscal year end closing processes. 

  • Interacts with donors, volunteers, faculty and staff to answer questions/requests regarding gifts/pledges. 

  • Responsible for the maintenance and update of hard files and database systems received or generated from various sources and the integrity of same by:  

    • Adding, deleting, merging, modifying or otherwise maintaining records for database or hard files on constituents according to departmental requirements to include, but not limited to, obituary listings, current demographic and/ or biographic data, and email addresses. 

  • Communicates predetermined database updates to relevant parties (e.g. deaths); 

  • Provides mailing lists or other reports upon request in a timely manner; 

  • Provides assistance on projects and directs or coordinates volunteer support.

  • Manages grant applications and payout documents.

  • Manages scholarship correspondence and scholarship database.

  • Attends and supports Advancement events as required. 

  • Other duties as assigned. 

The ideal candidate is a collaborative individual who possesses the following qualifications:

  • Knowledge about Stratford Academy - mission, academics, traditions, and people.

  • Bachelor’s Degree and/or commensurate work experience. 

  • Organizational excellence and ability to multitask.

  • Strong communication skills and ability to present information to audiences of various sizes

  • Experience in fundraising database operations (Blackbaud and/or Razer’s Edge experience is a plus)

  • Proficiency in Microsoft Office program person and through mail/email/phone.

  • Proficiency in Microsoft Outlook systems, especially Excel; comfort with Google Suite. programs. 

  • Friendly and hospitable communication skills; notable ability to work well with others as a teammate and willingness to take ownership of projects with little direction.

  • Ability to work independently and problem solve.

  • Ability to maintain confidentiality and discretion.
