Job Description

Charlotte Latin School has an immediate need for an Upper School Receptionist. This position will provide assistance to students, families, faculty, staff, administrators, and guests. 

Essential Duties and Responsibilities

  • Attendance Coordinator

    • Monitor, record, and report all attendance in school databases

    • Work closely with Deans, nurses, counselors, and Registrar for attendance issues

    • Communicate attendance messages to teachers, students, and parents

  • US Office Reception

    • Welcome guests and direct them to appropriate meetings and interviews

    • Assist faculty, staff, students, parents, and guests with general questions and requests for the US Office

    • Manage Upper School student parking stickers and maintain records

    • Assist students needing school documents for driving permits and licenses

    • Ensure the office, phones, and email are covered during the school day

  • US Office Admin

    • Assist as needed with calendar/scheduling of meetings for Upper School Head

    • Assist as needed with daily schedules and materials prepared for substitute teachers

    • Manage office, classroom, and copy machine supplies for teachers and staff

    • Assist with the incoming and outgoing mail for Upper School

    • Work with Registrar in maintaining student files

  • Other

    • Keep US Head apprised of Upper School news and appropriate personnel matters

    • Provide support for occasional events hosted for parents by the Upper School Office, including those held outside of workday hours

    • Monitor faculty and students during emergencies, providing support as needed during lockdowns and drills

  • Perform other duties as needed

Education and Experience:

  • An associate degree is required

  • Strong computer skills, specifically Google Suite, Microsoft Office, and Veracross

  • Three or more years of experience in an office support role


  • Excellent time management skills with the ability to manage multiple projects and meet multiple deadlines

  • Ability to work independently and within a team

  • Strong verbal and written communication skills, including competency using English grammar

  • Consistently practices good customer service

  • Performs work with a constant awareness of improving processes necessary for positive growth

  • Adheres to the highest level of professionalism by demonstrating honesty, integrity, and maturity
