Job Description

OVERVIEW

The Campaign Coordinator will assist Charlotte Preparatory School’s Development Office in all areas related to the Capital Campaign. He/She will coordinate activities of the board, schedule and coordinate all campaign meetings, working committees, cultivation events, and any other campaign-related event. The candidate will also understand the inner workings of a donor database and maintain and ensure data integrity, accuracy, and organization as well as maintain donor confidentiality. The coordinator will be responsible for acknowledging all pledges and gifts to the campaign in a timely manner. This is a full-time twelve-month position.

AREAS OF RESPONSIBILITY

  • Assist the Director of Development with coordination of all activities of the board, volunteers, staff, and others as they relate to Campaign fundraising at Charlotte Prep, including Prep Fund and campaign planning and implementation

  • Schedule and coordinate all campaign meetings, working committees, cultivation events, and any other meetings and events related to fundraising including the Prep Fund and the campaign

  • Prepare materials including follow-up materials promised at the meetings, prospect and donor research, acknowledgments, and reports for all Prep Fund and campaign meetings

  • Process all donations and ensure accuracy in collaboration with the Finance Office

  • Prepare a monthly reconciliation report for all donations received

  • Conduct prospect research to compile profile information on individual, corporate, foundation, and other prospects

  • Manage and ensure the data integrity of the Bloomerang donor database. Work as needed to update historical information, find lost alumni, and develop the database as deemed necessary

  • Organize and maintain thorough and accurate computer and hard copy filing systems for all fundraising activities

  • Develop and collect campaign-related materials including online research, queries, newspaper articles on potential donors, etc.

  • Prepare and produce all campaign materials for meetings, proposals, reports, etc.

  • Serve as liaison between campaign counsel, campaign leadership, and Charlotte Prep staff

  • Perform the above and any other duties necessary for effective and efficient campaign planning, management, and implementation

PROFESSIONAL QUALIFICATIONS

  • Bachelor’s degree required

  • Two to five years of relevant administrative experience

  • Experience in independent education is highly preferred

  • Experience using Microsoft Office, Excel, and database software

  • Experience with the use of Bloomerang software is highly preferred
