      Job Title:                        Administrative Assistant to Head of School

     Direct Supervision:       Head of School

     Scope of Work:              Twelve Month Position

     Expected Start Date:     Monday, June 10, 2024                       



Under the direction of the Head of School, the Head of School Administrative Assistant assists in duties relating to a variety of departmental and campus-wide activities. This twelve-month position provides direct support to the Head of School by organizing appointments and interacting with board members, parents, faculty, staff, Prince Avenue Baptist Church leadership, and organizations in the local community.


The Head of School Administrative Assistant shall be a committed Christian who is active in an evangelical church ministry.



  • Receive incoming calls for Head of School and refer callers as necessary
  • Process daily incoming mail for Head of School
  • Assist in correspondence for the Head of School
  • Help coordinate and schedule appointments for Head of School
  • Assist in preparation of School Board meetings agendas and handout materials as specified by the Head of School
  • Arrange business and conference travel for Head of School and other team members as assigned
  • Assist in the organizational aspects of meetings including planning, coordinating, and developing forms. Take minutes as needed.
  • Research, compile, and complete projects as directed
  • Oversee processing of facility/calendar requests through the ESpace calendaring program
  • Post employment opportunities on appropriate websites as directed
  • Maintain employment applications/resumes file
  • Maintain appropriate documents in the shared files in Microsoft Teams
  • Review incoming invoices, stamp "date received”, and distribute to the appropriate departments
  • Review expense forms and sign checks
  • Prepare and distribute correspondence to staff, school board, and parents
  • Design and update various forms to facilitate office procedures
  • Assist in annual academic calendar planning
  • Assist in updates to policy manuals (Family-School and Employee Handbooks, Emergency Guides and the Crisis Management Guide)
  • Assist in association membership and annual reporting (ACSI, GISA, SAIS)
  • Assist members of accreditation and association agencies
  • Renew certification with Georgia Surplus Properties as directed by Director of Campus Operations
  • Report fire, tornado, and lockdown drills, to GA Insurance Commission
  • Other duties as assigned




  • Member of a team-oriented office staff
  • Computer skills in MS Office, including Word, Excel, Power Point and Publisher
  • Proven ability to multi-task in fast-paced environment
  • Previous experience in a school setting is a plus
  • Previous experience as an Executive Assistant preferred


  • Bachelor's degree preferred
