Job Description

Position Summary   

The Admissions Associate reports directly to the Director of Enrollment Management and is responsible for communicating and engaging with families throughout the admissions process and supporting the Director of Enrollment Management in reaching the school's enrollment goals.

Essential Functions

  • Answer admissions calls in a pleasant, professional, and informed manner to provide admissions information and foster a positive image of the school.
  • Tour families around the campus, actively listen and engage with the family to focus on their goals for their child and family.
  • Monitor and respond to emails sent to the official Admissions email account and forward messages to other members of the department when appropriate.
  • Schedule appointments, including student testing, campus tours, prospective family meetings, and recruitment events
  • Proactively reach out to prospective students and applicants at key intervention points to encourage application submission, secure enrollment decisions, and ensure the completion of required next steps for admitted students.
  • Maintain the Veracross admissions database and manage applicant files throughout the admissions process - inquiry through acceptance and enrollment;
  • Assist with managing and maintaining inventory of admission materials, publications, marketing swag, and supplies and preparing admissions information packets.
  • Assist in planning, organizing, and implementing admission and outreach events, including Open Houses, Information Sessions, and Shadow Days.
  • Proactively communicate with newly enrolled families to ensure they are informed of school procedures and events. 
  • Actively engage and support the school’s commitment to a diverse, equitable, and inclusive community.
  • Promote the School’s mission and embody the core values of the school
  • Assist with other programs and school-wide events and perform other duties as assigned or requested

Education & Experience

  • Strong interpersonal skills; excellent written and verbal communication
  •  Exceptional attention to detail
  • Discretion in dealing with sensitive and confidential admissions issues
  •  Sense of humor, warmth of personality, and energy
  •  Ability to organize and prioritize work, problem-solve, multi-task, and manage time effectively
  • Possess an enthusiasm for working with children of all ages
  • Demonstrated ability to meet goals and maintain a high degree of accountability
  • Fluency in using technology applications, including MS Office Suite, Google Suite, and similar products
  • Experience in managing database software
  • Eagerness to learn as well as a willingness to be trained
  • Ability to work independently as well as receive direction; a dedicated team player

 

Working Conditions

  • Ability to sit at a computer and keyboard for moderate periods
  • Mobility sufficient to move about campus, including climbing stairs
  • Sight and hearing are adequate to perform the duties of the job, including communicating clearly
  • Ability to lift and carry 25 pounds on an occasional basis 

All staff will comply with school rules and policies, particularly regarding timekeeping, and will follow prescribed office and lunch hours. Any overtime must be approved before accrual or offset throughout that week unless otherwise stated in the employment letter or as directed by the employee's supervisor.

Staff may be asked to help out in other offices, but such requests must be channeled through and approved by, the Head of School.
