The Advancement Officer at St. Timothy’s School serves on a six-person Advancement Team that includes the Advancement Officer, Director of Advancement, Director of Community Relations, Marketing and Communications Manager, Director of Enrollment Management and the Associate Director of Enrollment Management. The Advancement Officer collaborates closely with all team members to support school efforts in fundraising, communications, publications, events, and alumni/community relations. The Advancement Officer will be a flexible, highly capable, collaborative team player with the strongest work ethic who demonstrates the highest commitment to the school’s mission, purpose, and core values.
Responsibilities vis a vis Strategic Goals:
Supports Development efforts to increase philanthropic giving
Provides leadership for alumnae program
Provides leadership for expanding effective Development Office protocols and procedures
Provides leadership for achieving and sustaining excellence in the implementation of the School’s Development program
Essential Duties & Responsibilities:
Supports Development Office operations in relation to general office administration,
special events, database management, and donor and alumni request services and activities
Processes gifts by entering gifts, generating receipts and acknowledgement letters,
sending Annual Fund pledge reminders, creating monthly reports, and ensuring timely
reconciliation with and transfer of gifts to the Business Office
In partnership with Development Team, contributes to the design and implementation of protocols, policies, and procedures pertaining to the effective management of Development
operations
Provides day-to-day support and assistance to the Director of Advancement
Creates, modifies, and runs database queries and updates database constituent records as needed
Assists with annual projections for Development Office budget
Assists, when needed, with planning, implementation, volunteer support and staffing of events for on- and off-campus activities and meetings, including those of Friends of St. Timothy’s School, the school’s active parent volunteer organization
Supports, develops, and implements programs to increase alumni involvement, ensure alumni data is current, and continue to strengthen alumni communication/outreach through management of the Alumni Newsletter
Processes alumni and donor requests received via telephone, mail, and email
Manages alumni instagram and facebook accounts
Assists the Marketing and Communications Manager in reporting on recent/upcoming school news and events featured on the school website and social media
Collaborates with the Advancement Team, as well as colleagues beyond the Advancement Team, to design, develop and write content for the school’s twice-annual St. Timothy’s magazine
Prepares and mails capital campaign pledge reminders and non-Annual Fund pledge reminders on a quarterly basis
Tracks all capital pledge activity, generates all capital pledge reminders, oversees the processing of capital-payment acknowledgments, and reports monthly to Business Office
Contributes to the preparation of annual audit information for Business Office
Prepares and revises acknowledgement letters for in-kind, restricted, and endowment
gifts before submitting to Director of Individual Giving or Head of School for signature
Disseminates meeting materials to Board of Trustees (BOT) Development Committee;
attends meetings to record prospect-review discussions; prepares follow-up notes and distributes
Collaborates with all volunteers and Development Team in managing annual
Development events
Contributes to the preparation and distribution of accurate Development reports for
Development Office, HOS, BOT, and school-related agencies, e.g., NAIS, NCAIS, etc.
Files and maintains donor correspondence
Researches and orders office supplies, letterhead, etc for Development Office
Attends occasional weekend and evening responsibilities throughout the school year

Qualifications:
Bachelor’s Degree required
Google Workspace experience preferred
Strong database skills, Veracross or donor software knowledge preferred
Adobe Creative Suite including InDesign and Photoshop, video editing and photography experience preferred but not required

St. Timothy’s School was founded in 1958 by the vestry of St. Timothy’s Church at the request of Father George B.S. Hale. Our first class enrolled 16 kindergarten students taught by Mrs. Carolyn Hale. St. Timothy’s was established with the intention to educate students through both lessons in academics and in everyday moments. Our community continues to serve as a safe educational space for over 550 students from pre-kindergarten through eighth grade.
