Job Description

St. Martin’s Episcopal School seeks a culturally competent and responsive Payroll Accountant to effectively administer the school’s payroll and time and attendance systems. This position is part of the Finance team and serves 140 full-time and 50 part-time/seasonal employees.  The Payroll Accountant is responsible for providing advanced technical work involving the performance of specialized duties relating to our payroll, time & attendance, and human resource information systems. The role involves compiling and calculating statistical payroll and human resources data, creating reports from the data, processing and balancing payrolls, maintaining the time and attendance tracking system, and also participates in payroll technology improvement initiatives.

Job Duties

All employees are expected to support the mission and vision statements of St. Martin's Episcopal School, and to contribute to the overall life of the school. Under the direction of the Director of Finance and Operations and in collaboration with Human Resources, the Payroll Accountant performs duties including but not limited to the following:

  • managing all aspects (gathering, organizing, preparing) of semi-monthly payroll process, retirement plan contributions, and special off-cycle payrolls for all employees and substitute teachers
  • preparing general ledger entries and post payroll adjustments which include benefit entries, deductions, payroll taxes, year-end adjustments, and accruals and ensuring that monthly, quarterly, and yearly payroll-related reporting requirements to the state and government agencies are executed properly and timely
  • responsible for proper time-tracking of all employees including calculating overtime, blended roles and special assignment pay for eligible exempt and non-exempt, hourly and salaried employees, and managing the time and attendance reporting process
  • 403(b) system management
  • Flexible Spending Accounts (FSA) reconciliation and oversight
  • COBRA billing management oversight
  • collaborating with the HR department on items that align with payroll such as on- and off-boarding of employees, FMLA, Workers Compensation and other forms of employee leave
  • coordinating school year-end time off reports with applicable unused time off payouts
  • communicating with employees regarding corrections and actions needed and answering payroll-related questions from all constituencies, keeping the Director of Finance and Operations informed as appropriate.
  • attending to payroll inquiries from employees in a timely manner
  • summarizing deductions and withholdings for journal entries
  • any additional tasks, or special projects, as assigned by the Director of Finance & Operations

Requirements

  • Bachelor’s degree required; preferably in business, accounting, finance, or other payroll-related areas.
  • Payroll certification preferred but not required.
  • Three to five years of experience supporting an HR and/or business office, preferably in a school setting, or non-profit organization, within the last five years.
  • Payroll processing experience with a strong level of comfort working within payroll platforms required; auditing experience preferred.  

Schedule

Ability to serve in a full-time, 12-month role. All work is performed on campus within the normal business hours of 7:30am to 4:00pm Monday-Friday.
