Job Description

The position of Assistant Director of Admissions is integral to The Westminster Schools’ Enrollment Management and Admissions Team. The primary focus will be on Upper School applicants and outreach.

The Assistant Director of Admissions, working in conjunction with the other members of the admissions team, attracts mission-appropriate students by nurturing and guiding families through the admissions funnel. The Assistant Director will be an energetic, ethical, and collaborative professional with a team approach to problem solving and have the proven communication, presentation, leadership, management, and planning skills necessary to collaborate productively with staff, faculty, students, and the community. The Assistant Director must demonstrate a thorough knowledge of academic and social development in high schoolers, marketing and recruitment strategies for athletes within the guidelines of the GHSA, and team decision-making in an independent school setting. The individual in this position must fundamentally embrace and further the School’s mission, vision, and culture while clearly reinforcing the School’s brand.

Supervisor: Director of Enrollment Management/ Director of Admissions

Supervisory Responsibilities: n/a

Position Status: Salaried, exempt, Full-time, regular, 12-month position.

Hours of Work: Standard work week with exact hours to be determined by the supervisor. Hours may vary depending on the schedule of events. Evening and weekend work will be required.

 

ESSENTIAL RESPONSIBILITIES

  • Assists the Director of Admissions to support the overall admissions process
  • Serves as a liaison to the Upper School (US)
  • Develops and manages the US student ambassador program: envision, plan, and execute an authentic leadership experience in support of both student development and the needs of applicant families in the Admissions process.
  • Assists with onsite events, such as but not limited to, Admissions Open Houses, Parent Information Sessions and Tours, Athletic Open Houses, Arts Open House, Current Parent Sessions, Alumni Admissions Meetings, etc., coordinating such events with the events team.
  • Represents Westminster at external programs and events, such as but not limited to, admissions fairs, EMA conference and regional meetings, A Better Chance fair, AAAIS meetings, feeder school fairs and programs, coordinating such events with the Assistant Director of Admissions Operations.
  • Builds relationships and manages communication with applicant parents through parent meetings, timely response to admissions calls, emails, and general correspondence.
  • Manages US admissions assessments: recruits and trains interviewers,
  • Leads and manages the US Admissions Committee meeting process- reviews and updates the rubric; assigns and trains readers and committee members; reads admissions files; reviews decisions; gathers data for decision-making.
  • Serves as liaison to the Department of Athletics for the Office of Admissions and design experiences to showcase our athletics programs.
  • Assists with Onboarding events in partnership with the events team.
  • Supports equity and inclusion outreach for the office.
  • Other duties as assigned.

 

REQUIREMENTS AND QUALIFICATIONS

  • Bachelor’s degree required
  • A minimum of five years’ experience in a competitive, high-demand independent school admissions environment
  • Exceptional interpersonal, verbal, and written communication skills; ability to interact effectively with a broad constituency while representing the school with professionalism and enthusiasm
  • Diplomatic interpersonal skills, including strong social and emotional skills; ability to work and communicate effectively with diverse constituents; significant experience working with students, parents, and faculty.
  • Proven experience in a customer focused field – creating and managing customer relationships.
  • Team player with a positive attitude, proactive approach, and customer-service mindset; demonstrated ability to work as an effective team member and manage multiple projects in a fast-paced environment
  • Ability to maintain strict confidentiality
  • Fluency with computer/technical skills with the ongoing curiosity and ability to learn new systems and technology e.g. MS Office in a Mac environment, Google/G-Suite applications, Asana, Admissions Applicant (Ravenna), and Student Information (Veracross) Systems.
  • Fundamental understanding of and commitment to the School’s culture, mission, and vision; a willingness to serve as an ambassador for the School, both internally and externally

 

PHYSICAL DEMANDS AND WORK ENVIRONMENT

While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out. The employee may occasionally lift or move up to 30 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may frequently walk on slippery or uneven surfaces.

 

TRAVEL

Travel is primarily local during the regular business day. Overnight and out-of-area travel may also be required.
