Job Description

Palm Beach Day Academy (PBDA) is seeking a full time Staff Accountant and Purchasing Manager immediately for the 2022-2023 school year. This self-starter will be a critical member of the Business office, will have a dynamic personality, and will enthusiastically carry out a range of accounting, purchasing and Human Resource tasks.

Duties and Responsibilities

  • Receive, verify and enter invoices/payment requests in accounts payable system.

  • Administer School-wide vendor accounts, complete vendor credit applications and assist with procurement as needed.

  • Control expenses by identifying and resolving billing errors, monitoring for discount opportunities, obtaining refunds, applying credits and ensuring tax exemption.

  • Obtain proper payment approvals and general ledger account codes.

  • Present complete and orderly payable documentation for review/approval by the Controller on a timely schedule.

  • Manage positive pay information for upload into banking system.

  • Receive, research and resolve a variety of internal and external inquiries; respond with timely and courteous communication.

  • Retrieve and reconcile department credit card statements; generate related journal entry.

  • Monitor and track credit card transactions and receipts for charges.

  • Liaise with School departments to facilitate credit card reconciliation.

  • Manage onboarding process with all new employees.

  • Process all paperwork for newly hired and terminated employees.

  • Assist with payroll for accuracy and deductions.

  • Monitor and update monthly deductions requested by employees.

  • Assist with monthly retirement contributions.

  • Support audit process including onsite work, preparation of materials, and any other items needed.

Qualifications

  • Bachelor degree in Accounting.

  • Minimum of two years previous nonprofit accounting or finance experience required.

  • Possess joy, a growth mindset, and a sense of humor and commitment to working collaboratively .

  • Experience with Blackbaud (highly desired).

  • Ability to use a range of technical platforms including email, calendars, communications platforms, Google Workspace, Microsoft Office Suite, database management tools, online banking systems and payroll processing portals.

  • Must take initiative, the ability to work independently and collaboratively.
